1. Introduction

Welcome to CheckMeIn, an application that allows you to check-in to events and helps you verify your participation to different happenings based on your location, allowing you to connect and communicate with other participants via the ad-hoc social media network of the event.

To create your profile and use the application a certain amount of personal data is collected. Some of it is automatically collected, and the rest is collected directly by you. The collection and processing of your personal data by the application is always in line with our legal obligations, in compliance with the GDPR 2016/679, and the applicable law on privacy and data protection.

In this Notice you will find a detailed presentation of the reasons and the purposes for which we collect and process personal data, the ways we process it, as well as for how long we retain your data and how we protect it. You will also be informed about who has access to your data, what rights you have on your data and how you may exercise them. We encourage you to read our Privacy Notice thoroughly, as it reflects the Privacy and Data Protection Policy we follow. THIS IS AN ALPHA VERSION OF THE APPLICATION. THIS VERSION IS SOLELY INTENDED TO BE USED FOR TESTING PURPOSES, FOR THE FURTHER DEVELOPMENT OF THE APPLICATION. ONLY THE SELECTED TESTERS ARE INVITED TO USE THE APPLICATION TO PROVIDE FEEDBACK. THESE NOTICE DOES APPLY TO THE USE OF THE APPLICATION, REFLECTING THE PRIVACY POLICY WE FOLLOW. YET, IT WILL UPDATED AND AMMENDED WHEN THE APPLICATION FULLY LAUNCHES TO REFLECT THE FUNCTIONS AND FUNCTIONALITIES OF THE APPLICATION AND THE SERVICE

2. Who we are

2.1. This Privacy Notice governs the personal data collected and processed when using the CheckMeIn application.

2.2. The application is developed, owned, and administered by HYBRIDVERSE ANALYTICS P.C. 2.3. According to law and the General Data Protection Regulation, HYBRIDVERSE ANALYTICS P.C. is the Data Controller. You may contact us calling using any or all of the aforementioned communication details. 3. What type of personal data is collected, when, how and why:

3.1. When using the Application we will collect and process the following personal information about you:

  1. E-mail address: Filled in by you when you create your profile, for the purposes of profile creation and two-factor authentication, as well as for profile and account recovery.
  2. First name and last name: Filled by you when you create your profile, for the purposes of identification, profile creation, and/or to allow you to connect with the local, event-related ad-hoc social media network.
  3. Year of Birth: Filled in by you when you create your profile, for identification purposes, and to verify that you are within the age of permitted use.
  4. Location Data: Collected automatically through the application when you search for nearby events to check in, as well as when you check-in and check-out. Location data refers to your longitude and latitude and is collected in three occasions:
    1. When you are not checked-in to an event, location data is collected in the relevant screen in order to find and present the available events in your area.
    2. When you check-in, location data is collected in order to validate that you are within the target event’s radius.
    3. When you check-out, location data is collected in order to process if you checked out from within the event’s radius or whether you have left.
    Location data is necessary in order to validate your check-ins as well as provide relevant information about nearby events. It is only processed for validation and content selection and is not otherwise stored or tracked by the app. The app does not otherwise track your location when active or in the background.
  5. Usage Data: By usage data we refer to the data created through the following actions: login, logout, check-in, check-out, check-in by event’s organizer (when the event organizer checks in another user), check-out elsewhere (when checking-out outside the event’s radius), timeout (when an event you are participating in terminates). This data is collected automatically through the application for the purposes of reporting your history to you in the app as well as reporting to event organizers the list of participants. Login and logout data is collected for development purposes only.
  6. Facebook Profile: Optionally filled in by you when you create your profile, to be displayed in your public profile within an ad-hoc event social media network, and allow you connect with the participants of that event after it is concluded.
  7. Instagram Profile: Optionally filled in by you when you create your profile, to be displayed in your public profile within an ad-hoc event social media network, and allow you connect with the participants of that event after it is concluded.

3.2. The legal basis for collecting and processing your data is your consent. We shall not process or otherwise use your data for any other purpose than those clearly and specifically explained to you on the moment of collection, and the purposes clearly and specifically stated in this Notice.

4. Who has access to your personal data and why

4.1. We apply a purpose-specific and consent-premised principle regarding access to your data, which means that we allow access to your data, or certain aspects of your data, based on the purpose for which you disclosed it, and according to your consent.

4.2. Access to your e-mail address will have the support and maintenance team of the application, to offer you technical assistance regarding your account.

4.3. Access to your year of birth will have the support and maintenance team of the application upon registration to ensure that you are within the appropriate age limit.

4.3. Access to your name, surname and e-mail address will be granted to the event organizers of the events you try to check-in, to verify your identity.

4.4. When checking-in, you have the option of being a visible or invisible participant. As a visible participant, other users that are checked-in to the event have access to your public profile which includes your first and last name as well as your social profile links (Facebook and Instagram), if you elected to include them at your profile creation. Event organizers have access to the profile emails of all user’s that have checked in to their event, as well as the times of check-in and check-out. As an invisible participant, no other party has access to your personal data and you may not, in turn, have access to other participants’ data.

4.5. We do not share your personal data or otherwise disclose it to third parties, except if we are specifically required to do so by law, court order or a decision rendered by a competent public authority, for the purpose of law enforcement, or in terms of exercising our legitimate rights.

5. For how long we retain your data

We apply a purpose-specific policy to define the period of time for which we process and store your data. As such, we keep your information for no longer than necessary for the purposes for which it is collected. More specifically, your profile and usage are stored for a period of three years after your last log-in, The data concerning the event you are checked-in to is kept as long as the event is active. After the event is concluded, all data is safely and permanently deleted.

6. Where is your data stored

For the period retained, the personal data is safely stored in AWS cloud storage. You may read more about the privacy policy AWS applies, as well as the information security and personal data protection rules it follows here.

7. How is your data protected

In accordance to the laws regarding privacy and personal data protection, we have taken the reasonably necessary and appropriate technical and organizational measures to ensure the protection of your personal data and the preservation of your privacy. We have implemented measures, policies, processes, and procedures to protect your data against the danger of accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access to your data by unauthorized or malicious third parties. More specifically:
All data stored in data centers is encrypted by default. Further, sensitive data that are used to access your account (password), is encrypted on the server side. Any data transferred from you to the app and vice versa is transmitted through secure channels and protocols such as HTTPS and SSL.

8. Persons under 16 years of age

Although there is nothing in the application that may negatively affect children or young people, the application is primarily intended for people who are over sixteen (16) years of age. We would like to encourage you not to share your personal data with us if you are under 16 years of age. If at any point we realize that we have in any way collected data of a person under 18 years of age, it will be instantly and permanently deleted in a secure way.

9. The rights you have on your personal data

The GDPR provides you with some specific rights concerning your personal data, that we totally respect, and will actively ensure that you can exercise each and/or all of them freely. More specifically you have the right:

  1. to be always informed about the reasons and purposes for the collection and processing of your data, the time limits of processing and storing of your data, the principles of processing, those involved in collection and processing, as well as asking and obtaining any relevant information. If you are not sure you clearly understand something in this Notice, you are encouraged to contact us asking for clarifications prior to submitting or otherwise sharing your personal data with us;
  2. to to access the data we have about you, namely ask us to disclose which data we have about you, how and when we obtained it, and receive a copy;
  3. to rectify the data we have about you, in case a piece of your personal data has changed while we retain it, so as to ensure that the data we have about you is always accurate, updated and suitable for the reasons/purposes for which you have disclosed it to us;
  4. to request a copy of your data in a convenient/ appropriate format to be transferred to a third party or used for other purposes (data portability);
  5. to request us to erase your data;
  6. to object to further processing and ask us to refrain from furtherly processing your data;
  7. to revoke your consent;
  8. file an official complaint: if you have any concerns about possible interference with your privacy or misuse of your personal data on our behalf, you may contact us to file a complaint. We hope that we can answer any questions you may have about how we process your personal data and resolve any issue that may occur. Therefore, we would like to invite you to contact us. However, if there are unresolved issues that concern you, you also have the right to complain to the relevant data protection authorities.   9. The rights related to automatic decision making and profiling are not applicable in this case.
